FOP Lodge #21 Hall Rentals

RULES, REGULATIONS, INCIDENTALS

AND CANCELLATION POLICY 

RENTAL AGREEMENT RULES

  • Liquid beverages must be purchased from the Lodge with the exception of children’s juice boxes. There will be no kegs or outside alcoholic beverage consumption on the premises.

 

  • Use of Kitchen: You must use your own pots, pans, utensils, cutting boards, serving trays, etc.  The kitchen will be left in a clean orderly manner. 

 

  • NO push pins, tacks, tape, staples, or nails of any kind are to be used for hanging decoration.  No confetti, or balloons with confetti inside, hay, or straw will be used for decorating.

 

  • If you bring your own food, you are responsible for the quality and safe handling of this food.

 

  • No food will be left behind. The outside dumpster is available at the rear of the building and all trash must be placed in the dumpster. Chairs and tables are requested to be taken down and neatly stacked.

 

  • Alcoholic beverages must remain within the building and are NOT allowed outside the Lodge. No outside alcohol is allowed on the property.

 

  • There is absolutely no smoking or vaping inside the building at any time. Cigarettes may be smoked outside the building away from all building points of entry.  Cigarettes and Vaping may take place in the designated areas. There will be no marijuana smoking on the premises at any time.

 

  • All events must be cleared by 12:00am due to the Town of Middletown local ordinances. All events will comply with Middletown Town Ordinances (130.75 through 130.91) pertaining to noise. All music will be shut down or set at a very low decibel level at 10pm. Any complaints to the local police department will be investigated and if found to be in violation “only one (1)” warning will be issued the following complaint will warrant the loud noise to be shut down/turned off.

 

  • All barbeque grills must be personally owned.

 

  • At the conclusion of the event, should the hall be left below standards, according to the signed contract, the credit card on file will be charged for all fees regarding repairs and/or cleaning by professionals.

RENTAL AGREEMENT REGULATIONS & INCIDENTALS

1. A credit card must be on file at the signing of this agreement -- Additional fees may be charged to the account on file for the following purposes: 

a) CANCELLATION ($150.00) 

b) DAMAGE FEE ($575.00+)

c) CLEANING FEE ($400.00+)

d) All additional charges will incur an additional 3% credit card transaction fee.  

If no issues arise after the hall rental, no additional fees will be applied to the account on file.  If additional fees or charges are incurred, the person responsible for signing this agreement will be notified.  

2. Property damage and cleaning: Renters are responsible for removing and cleaning all decorations used during the rental period.  Property will be returned to the manner it was received at the time of rental.  If damages exist (including to the parking lot) or significant cleaning is required, additional charges will be applied to the credit card on file. All cleaning and damages will be consulted with a cleaning/contract of fop lodge #21 choosing.

3. FOP Lodge #21 maintains the right to refuse service / rentals.  If the applying renter has prior offenses known to FOP Lodge #21 (excessive trash, property damage, prior reported issues, etc.) Any rental may be denied.

4. If any function/event obtains a noise complaint and the local police department issue a citation, the person signing the rental agreement will be charged the citation fee to their credit card on file. A copy of the citation will be forwarded to the person listed on the rental application as proof.

5. If the renter requests the use of the fire pit, they will be required to hire a Middletown Fire Department (MFD) detail at their own expense for the duration of the event. Renter is required to have MFD contact Middletown FOP Lodge #21 to ensure the detail is secured.  No fire pits will be authorized for use without a detail. 

6. If any fire pit is used without reasonable notification to the hall representative, MFD will extinguish the fire, and the Renter will be charged a $200.00 fee which will be charged to the credit card on file – to include any fee(s) or citation(s) issued by MFD.

RENTAL CANCELLATION POLICY 

  • All cancellations must be submitted in writing to the FOP Lodge #21.  You may submit a request for cancellation or date change up to 30 days prior to the event.  

  • Cancellations 30 days prior to the event will receive 100% refund on hall fees paid minus the non-refundable deposit.  

  • Any cancellation up to 15 days prior to the event will incur a $150 cancellation fee in addition to the non-refundable deposit.  All other rental fees will be refunded. 

  • No Refunds will be refunded if any cancellation request is made 14 days or less from the event.

  • Cleaning fees will be refunded for any cancelled event.
